Job Summary
The Administrative Manager is responsible for overseeing and managing the full unit sales registration process using the Yardi system, ensuring that all sales documentation is accurate, complete, compliant, and properly recorded. The role supervises administrative staff, coordinates closely with Sales, Finance, Legal, and Customer Service teams, and ensures timely, error-free registration of unit sales.
Key Responsibilities
The key duties and responsibilities of the Administrative Manager include, but are not limited to:
Supervise and manage the end-to-end unit sales registration process using the Yardi system
Ensure all sales contracts, reservation forms, payment schedules, and supporting documents are accurate, complete, and compliant with company policies and regulatory requirements
Review, verify, and approve data entries in Yardi related to unit sales and customer records
Coordinate with Sales, Finance, Legal, and Customer Service teams to resolve discrepancies or missing documentation
Monitor registration timelines and ensure the timely completion of all unit registrations
Maintain organized, accurate, and up-to-date physical and digital filing systems
Generate regular reports from Yardi on sales registration status and outstanding issues
Train, guide, and supervise administrative staff involved in the sales registration process
Ensure compliance with internal controls, audit requirements, and applicable regulatory standards
Handle escalations related to documentation errors, system issues, or customer complaints
Required Skills & Qualifications
Bachelor’s degree in Business Administration, Management, or a related field
3–6 years of experience in real estate administration, sales registration, or property management
Strong working knowledge of Yardi (mandatory)
Excellent attention to detail and strong document control skills
Proven leadership and team supervision capabilities
Fluent in Arabic and English.
Ability to manage multiple transactions and meet tight deadlines simultaneously
Strong working knowledge of Google Workspace (Gmail, Drive, Docs, Sheets, Slides, Calendar, Chat, Meet)
