We are looking for a Head of Facilities Management to join our team.
Job Scope:
As a Head of Facility Manager you will be responsible for the strategic planning, operation, and maintenance of the company's physical assets, including buildings, infrastructure, and associated systems. This role involves developing and implementing policies to ensure optimal use of resources, compliance with regulations, and the creation of a safe and functional working environment.
Key Responsibilities:
1. Financial Management
- Budgeting and Forecasting:
- Develop, manage, and control budgets for operations, maintenance, and capital expenditures.
- Conduct financial forecasting to anticipate future costs and resource needs.
- Cost Optimization:
- Identify cost-saving opportunities through efficient resource allocation, vendor negotiations, and process improvements.
- Return on Investment (ROI):
- Assess ROI for projects, technologies, and upgrades to ensure financial viability.
- Revenue Generation:
- Identify revenue streams such as leasing, parking fees, and event spaces in commercial properties.
2. Procurement and Vendor Management
- Contract Negotiations:
- Negotiate contracts for maintenance, cleaning, security, and other services to achieve favorable terms.
- Supplier Relationships:
- Build and maintain strong relationships with vendors to ensure quality and cost-effectiveness.
- Procurement Strategy:
- Implement competitive bidding processes and vendor performance evaluations.
3. Real Estate and Leasing Knowledge
- Lease Agreements:
- Understand lease structures (e.g., gross, net, percentage leases) and manage tenant relations effectively.
- Tenant Management:
- Ensure compliance with lease terms, handle disputes, and enhance tenant satisfaction.
- Space Optimization:
- Maximize the value of leasable areas by optimizing design, usage, and marketing strategies.
4. Risk Management and Compliance
- Regulatory Compliance:
- Ensure compliance with health, safety, environmental, and building regulations.
- Risk Assessment:
- Identify and mitigate financial, operational, and reputational risks.
- Insurance:
- Manage insurance policies for properties, equipment, and liability coverage.
5. Operational Efficiency
- Cost-Benefit Analysis:
- Assess operational initiatives to ensure they are financially sound and efficient.
- Lifecycle Costing:
- Evaluate the total cost of ownership for assets and infrastructure to support informed decision-making.
- Technology Investments:
- Invest in technologies like Computer-Aided Facility Management (CAFM) and Building Management Systems (BMS) to improve operational efficiency.
6. Strategic Planning
- Market Trends:
- Stay updated on market trends in real estate, FM technology, and sustainability to inform strategy.
- Portfolio Management:
- Evaluate the performance of different properties and prioritize investments accordingly.
7. Energy and Sustainability Economics
- Energy Management:
- Monitor and manage energy consumption to reduce costs.
- Sustainability ROI:
- Evaluate the economic impact of sustainability initiatives like green certifications, energy-efficient upgrades, and waste reduction programs.
8. Crisis Management and Business Continuity
- Crisis Planning:
- Develop contingency plans to minimize financial losses during disruptions (e.g., natural disasters, pandemics).
9. Data-Driven Decision-Making
- Performance Metrics:
- Use KPIs (eg. workorder completion reports, client surveys and PPM completion reports)
- Leverage data from BMS and CAFM systems to make informed commercial decisions.
Qualifications:
Education:
- Bachelor’s degree in Mechanical Engineering.
- Certifications such as IFMA's Certified Facility Manager (CFM) is mandatory.
- Experienced in Yardi PMS system or similar.
Experience:
- 15 years of experience in facilities management companies, including at least 8 years in a leadership role in a reputable company.
- Proven track record of managing large-scale facilities like Hotels , Malls , residential or commercial towers for hard and soft services etc.

- Strong leadership and team management skills.
- Excellent problem-solving and decision-making abilities.
- Solid understanding of health, safety, and environmental regulations.
- Proficiency in facilities management software and tools.
